Reusable Templates

Keep the message consistent. Change only what is new.

Repeating a message should not mean rewriting it, finding the right voice again, and hoping today’s result still sounds familiar. A PITCH Template begins with a message the team has heard and approved, then keeps the stable choices in place while declared details change.

Templates are useful when a business job repeats but the facts do not. The familiar parts stay easy to recognize; the new parts stay easy to review. That gives a restaurant a reliable daily-special message, a venue a familiar sponsor greeting, or a service desk a consistent counter update.

The boundary matters: a Template prepares audio. It does not decide where the announcement belongs, send it in the background, or mark it complete. “Audio ready” is the handoff to a separate announce or schedule choice.

That separation also makes review easier. One person can check the completed sentence and sound, while the manager responsible for the location keeps control of the speakers and timing.

The Template boundary

Test once. Change the detail. Choose delivery afterward.

Each step has a clear finish, so prepared audio is never confused with an announcement that was sent or played.

  1. 01

    Test once

Begin with a message the team has listened to and approved. Check the wording, pronunciation, language, and voice choice while the whole sentence is visible, so the Template starts from something dependable.

  2. 02

    Change the details

Update only the details the Template declares: a name, date, price, product, counter, place, or event. The stable message around those details remains easy for the team and audience to recognize.

  3. 03

    Create the new audio

Review the completed sentence and create fresh audio from it. When PITCH shows “Audio ready,” the new spoken message can be listened to and saved with a useful name in the library.

  4. 04

    Use it now or later

After the audio is ready, choose whether to announce it now, schedule or repeat it, or make another. Keeping delivery separate prevents a prepared message from being mistaken for one that was sent or played.

Five useful patterns

Repeated jobs, specific new details.

  1. 01

    Birthday greeting

Change the guest name and occasion while keeping a warm greeting the team has already approved.

  2. 02

    Daily special

Change the dish and price while keeping the familiar structure, language, and voice.

  3. 03

    Gate or counter update

Change the gate, desk, or collection point while keeping clear guidance around the new place.

  4. 04

    Event sponsor

Change the sponsor or event name while preserving a reviewed acknowledgement for the room.

  5. 05

    Store closing reminder

Change the closing time or date while keeping a calm, useful reminder for customers and staff.

Questions

Templates, answered plainly

What makes a message suitable for a Template?

Choose a message with a stable structure and a small set of details that change predictably. Daily specials, greetings, counters, event names, dates, and times are useful examples because the team can review exactly what is different.

Can a Template change any part of the message?

A Template changes only the details declared when it is prepared. That deliberate limit protects consistency and keeps the completed sentence reviewable. It is not free-form writing or background personalization.

Can the result be saved to the library?

Yes. Once the new audio is ready and reviewed, the team can save it with a clear name in the audio library. Saving keeps it available; announcing or scheduling remains a separate decision.
